Overview
The Business Data Coordinator provides direct administrative and operational support to the ERP, Marketing, BIM and Quality Departments in the maintenance, coordination, and daily operation of the company’s Enterprise Resource Planning (ERP) system and supporting networks. This role is essential for ensuring timely communication, accurate data handling, and process alignment across departments. The Business Data Coordinator helps maintain documentation, coordinate system updates, and function as a liaison between the ERP, marketing, quality and all other departments.
Essential Duties & Responsibilities
- Support ERP Manager with scheduling, documentation, and task follow-ups related to ERP initiatives.
- Assist in managing administrative functions of ERP projects, including meeting agendas, notes, and timelines.
- Prepare and maintain user guides, FAQs, and internal training materials under the direction of the ERP Manager.
- Coordinate communications, reminders and scheduling related to ERP system updates, training sessions, and policy changes.
- Collect and organize feedback from end users to support system improvements and escalate to ERP Manager.
- Enter, update, track, and audit data within the ERP system to ensure consistency and accuracy.
- Assist in basic testing of ERP modules during upgrades, patches, or new module implementations.
- Organize and maintain ERP documentation, process maps, and reference materials.
- Build Excel spreadsheets and charts for data (metrics) monitoring.
- Maintains marketing activity records in the ERP system.
- Provide backup support for proposal development, including assembling content, formatting documents, and meeting submission deadlines.
- Assist in crafting, creating and updating company qualifications packages, staff resumes, and project sheets for marketing use.
- Coordinate trade show and conference participation, including logistics planning, booth materials, and attendee registrations.
- Manage travel arrangements and accommodations for staff attending industry events and client meetings.
- Create materials, workflow, and outlines for BIM Onboarding.
- Assist with learning management system.
- Assist with planning and Coordinating training regarding high level BIM topics.
- Assist with Microsoft 365 tools like Planner, Forms and Power automate.
- Act as project manager on internal projects that affect multiple groups and the BIM team.
Minimum Qualifications
- Associate's degree in Business Administration, Information Systems, or a related field.
- 1–3 years of experience supporting ERP systems or working in a project support role (Basic understanding of ERP Systems).
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint, Teams).
- Must be intermediate to advanced in Excel.
